Managing a Service Call Add a Bill

Learn how to use the Web Portal as a Tech, from starting a job to sending the bill. 

 

Managing a Service Call

Page Navigation Home > Servicing > Repairs

 

On the Repairs page, you can see all the jobs that have been created with all their details. 

A few filters are available for you to see the jobs:

  • Open Jobs only
  • Closed Jobs only
  • All jobs 

You can also choose to see the jobs at specific locations:

  • Field
  • Warehouse
  • All

 

Start a Job

Page Navigation Home > Servicing > Repairs > Select Job Number


Check the job details on the main page:

  • Job Type
  • Problem
  • Description of the Problem
  • Location
  • Asset
  • Attachments 
  • etc.


Scroll down to Attendances to start the job:

  • Click on Start
  • Select Date and Time of arrival and click on Start

    ⚠️ You can backdate the date and time if necessary. 

     

 

 
 

Close a Job


Under ‘Attendances’, click on Stop

Select the action(s) performed in the dropdown list.


Fill in the Work Breakdown:

  • Date and time of completion
  • Callout charge if applicable
  • Labour time and charge if applicable
  • Travel time and charge if applicable
  • Travel distance if applicable

If you have set Skills & Rates on your profile, the charges will be pre-filled.

 

 

 

If no part is used, tick the box. 


 

 


 

If you used a part, add it:

  • Click on Add New Part
  • Source: Select who the part is being supplied by
  • Enter details of the part you used, the quantity and the Unit Price.

 

Add note for the attendance:

  • What was the problem exactly
  • What you did to resolve the problem

The End User (the location where the Tech attended) will receive a copy of these notes!

 

 

Complete the Next Steps: choose one of these options:

  • The job is completed successfully
  • You could not complete the job and are not returning to site.
  • You need to re-attend
  • Part to be supplied by Client
  • Additional work that requires quoting

 

Choose how to review the attendance:

  • Pending review: if you need to check the details of the attendance later on and make some adjustments. 
  • Review: if you don't need to make any change and want to finalise now. 

 

 

 
 

 

Add a Bill

Page Navigation Home > Billing > Add Bill or select the ADD BILL button on the top left of the repairs page once the repair is closed.

 


After closing the job, you need to submit an invoice. 

You can do this from the Page Navigation mentioned above, or by clicking on Add Bill on the left side of the screen after closing the job.

 

Good to know: if you add the bill directly from the job number, the bill will be pre-populated with those details:

  • Bill Date
  • Job Number
 

 

Fill in the details:

  • Bill Type : Credit or Invoice
  • Supplier Bill Number: Your Invoice Number
  • Bill Date: Your invoice date
  • Total Cost: Invoice Amount
  • Confirm the correct job number and add the total amount that applies to that job.

Insert a copy of your invoice in the Attached Documents, and then click on Create.

You can submit one invoice for multiple jobs:

  • Select + Add Job to add additional job numbers the invoice relates to.
  • Enter the total amount for each job next to the job number

The means all of your totals add up and you can proceed further. 

 

 

After creating your invoice, you will be redirected to the Invoices page, where you will be able to see all previously submitted invoices.
